What a 20, 40 or 60-seat computer lab actually costs in 2026 — per-seat maths with real desktop and AIO prices, what tenders should specify, and where budgets quietly leak.

Every lab budget starts with the same question: what does one seat cost? Here is the 2026 answer with real prices — from the supplier side of the table, written so a principal, trustee or purchase officer can sanity-check any quote they receive.
The per-seat maths
The machine. A working lab seat starts with an i3-class desktop from ₹15,999; add a monitor, keyboard and mouse and the classic tower seat lands around ₹22,000–₹26,000. An i5 seat for programming and heavier teaching software runs roughly ₹30,000–₹38,000 with display.
The all-in-one route. A 23.8-inch FHD all-in-one replaces tower, monitor and webcam with one machine and one cable — ₹79,999 (i3) to ₹1,35,999 (i7) per seat. Labs choose AIOs for exactly two reasons: nothing to open, and nothing under the desk to kick. For most school labs the tower seat wins on budget; for showcase labs and computer-science departments the AIO wins on upkeep.
So a lab costs: 20 tower seats ≈ ₹4.4–5.2 lakh · 40 seats ≈ ₹8.8–10.4 lakh · 60 seats ≈ ₹13.2–15.6 lakh, before the items below. Quantity pricing pulls each of those figures down — which is why per-seat quotes beat marketplace carts past a handful of units.
What the machine price does not include
Budgets leak in the lines nobody itemises: electrical work and UPS capacity, networking (a switch, cabling, one access point per room), the teacher station (usually one tier higher), furniture, and software licensing. A good supplier quote lists the hardware exactly and says which of these it excludes — an honest exclusion beats a hidden one.
The tender checklist
Whether it is a formal tender or a trust approving a purchase, specify: exact configuration per seat (processor generation, RAM, SSD capacity — not "or equivalent"), GST invoice per lot (institutions claim input credit), warranty terms in writing (ours: the tax invoice is the warranty card), the service arrangement (we run RMA desks in five cities), and staged delivery if rooms go live in phases — each stage with its own invoice clears accounts cleanly.
Identical machines matter more than cheap machines
A lab of 40 identical desktops is one spare-parts shelf and one disk image. A lab of 40 "best price that week" machines is 40 support tickets. Standardising the configuration is the single cheapest reliability decision a lab makes — it is also why factory-direct supply beats assembling a lab from marketplace sellers.
